USDA email containing unencrypted Personally Identifiable Information sent outside of the USDA will be blocked.

What you need to do

If you are sending an email containing PII outside of the USDA, you will need to encrypt your message.

Directions on how to encrypt email can be found in KBA00109212: FS: Outlook: How to Send Encrypted Emails.

What is “PII”?

Examples of sensitive PII are:

  • Social Security Numbers
  • Credit Card Information
  • Passport Information
  • Birth Dates

Please note that names and work addresses in signature blocks are not considered sensitive PII, and they will not cause an issue when sending email.
